How do I start a conference?

You can start or schedule a Conferendum Meeting either via the e-mail invitation-service or directly from Outlook using the Conferendum Outlook Plug-in.


How do I start a meeting using the Conferendum Outlook Pug-in?

Download and install the Conferendum Outlook Plug-in. Once the installation is complete, start Outlook and click on the Conferendum button in the toolbar. You may choose to start a meeting immediately or to schedule a meeting for later. Put the participants in the e-mail as recipients and set the date, time and duration of the meeting. Write your invitation text and click send. All participants will receive an invitation e-mail from Conferendum with a link to join the meeting as well as an Outlook calendar item. As a conference leader, you will receive a confirmation e-mail from Conferendum with a link to start the meeting.


What happens if I invite participants who don’t use Microsoft Outlook?

That’s not a problem at all. Every participant receives a simple e-mail with all necessary links to join the meeting. This works with any e-mail program. Outlook users have the advantage that they can save the attached calendar item to their Outlook calendar.


On which Outlook Version does the Plug-in run?

The Outlook Plug-In is available for Outlook 2003 and 2007.


I’ve already sent an invitation, but I forgot some participants. How can I add them?

If you want to add further participants to a meeting, go to the confirmation e-mail you received from Conferendum and click on “Further participants”. Conferendum opens a new e-mail with a special code in the subject field. You must not delete or modify this code! Add the participants in the copy field (CC) of this e-mail and click on send. All of the new participants will receive an invitation e-mail from Conferendum. The conference leader will also receive a new confirmation e-mail containing the updated participant list.


I sent a conference invitation, but now I want a colleague to lead the meeting in my place. How can I add new moderators?

You can add further moderators to a meeting any time. Just go back to the confirmation e-mail you received from Conferendum and click on “Additional moderators”. Conferendum opens a new e-mail with a special code in the subject field. You must not delete or modify this code! Add the new moderator in the copy field (CC) of this e-mail and click on send. All new moderators will receive an invitation e-mail from Conferendum and the conference leader will receive a new confirmation e-mail with the updated participant list. The new moderators now have the right to start and run the conference in your place. If a moderator joins the conference, he or she will be in the conference with moderator rights.
